Semester Exchange Programme Application Guidelines


Programme Overview

 

The Semester Exchange Programme offers students the opportunity to study for one semester at a partner institution. During the exchange period, students are required to pay tuition fees to City University of Macau (CityU Macau) only, and no tuition fees are required for the host institution. Students must select courses that are the same as or similar to those they are pursuing at CityU Macau and obtain confirmation from the course coordinator of their home faculty.

 

 

Eligibility Criteria

 

  • Full-time students with distinctive academic performance and good conduct.
  • Undergraduate students must have completed one year of study at CityU Macau before departure.
  • Graduate students must have completed one year of study at CityU Macau before departure.
  • Proficiency in English as required by both CityU Macau and the host institution.
  • Other relevant criteria required by the host institution (if applicable).

Steps for Application

Submission of Documents

1.

Select Preferred Exchange Institutions

Carefully review the admission brochures and application requirements of the desired institutions to ensure eligibility and compliance with application conditions. Based on personal preferences and academic interests, list three preferred exchange institutions, including the departments and courses offered.

2.

Submit Application and Materials to the Office of Global Affairs

  • a) 《City Univeristy of Macau Exchange Student Recommendation Form》(Complete and submit two PDF copies; naming format: [Chinese Name]-Recommendation Form 1/2)
  • b) Study Plan (300-500 words)
  • c) Screenshot of Transcript (PDF file; naming format: [Chinese Name]-Transcript)
  • d) Personal CV (Chinese or English) (PDF file; submit an CV as required by the host institution; naming format: [Chinese Name]-CV)
  • e) Additional Supporting Documents (PDF files, such as personal statements, competition awards, skill certificates, scholarships, etc.; naming format: [Chinese Name]-Document Name)

Note: All submitted documents must be in PDF format.

3.

Interview Notification

Upon receiving an interview notification, submit the following materials to the course coordinator of your faculty before the interview:

  • a) Transcript from CityU Macau
  • b) Course syllabus for courses taken at CityU Macau
  • c) Course syllabus for courses at the host institution
  • d) Academic calendar of the host institution

4.

Announcement of Interview Results

  • a) Confirm via email whether you accept the exchange nomination.
  • b) Sign and send the 《Student Life Agreement and Parental Consent Form》 to oga.exchange@cityu.edu.mo.

5.

Nomination for the Host Institution

 

Note: If the selected courses at the host institution do not match the courses listed in the Credit Transfer Plan Form or the syllabus, resulting in an inability to transfer credits, the student is responsible for resolving this issue.

6.

Await Admission Notification from Host Institution

Apply for visa and conduct other enrollment procedures independently.

Note: Final acceptance is determined by the host institution.

Required Materials:

 

 

  • 1. 《City Univeristy of Macau Exchange Student Recommendation Form (Click the link to download) Two copies are required, to be completed by two different referees. It is recommended that referees are instructors from CityU Macau, and signatures must be handwritten (File format: PDF; naming format: [Chinese Name]-Recommendation Form 1/2).
  • 2. Study Plan (300-500 words)
  • 3. Screenshot of Transcript covering all completed courses at CityU Macau, which can be taken from the TronClass system. Ensure that accumulated credits are clearly visible. Provide this accurately as the Office of Global Affairs will verify it in the system (File format: JPG or PDF; naming format: [Chinese Name]-Transcript).
  • 4. Personal CV in either Chinese or English. Provide an English CV for overseas institutions and a Chinese CV for domestic institutions (File format: PDF; naming format: [Chinese Name]-CV).
  • 5. Additional Supporting Documents, such as personal statements, competition awards, skill certificates, scholarships, etc. (File format: PDF; naming format: [Chinese Name]-Document Name).

 

 

Selection Process

 

I. Submit Application Form

Preliminary Screening:

Evaluation criteria include:

 

  • Academic performance of the applicant
  • Authenticity of submitted materials
  • Neatness of the submitted material format
  • Richness of content in the submitted materials

 

II. Interview

 

  • Interview Duration: 5-10 minutes
  • Language: Primarily in English
  • Content: The interview aims to understand the student’s exchange intentions, objectives, motivations, and study/living plans. Interviewees should prepare accordingly.
  • Interviewers: Faculty members from various departments
  • Interviews will begin in the first week of October 2024 (exact date to be confirmed).

 

The Office of Global Affairs will review and screen the materials submitted by applicants, scoring each item and calculating a total score. Applicants will be ranked based on their total scores, and the best candidates will be selected for nomination.

 

 

Preparation Before Departure:

 

Upon receiving the official admission notification from the host institution, students should start preparing for the exchange. This includes but is not limited to:

 

  • Contacting the host institution to confirm enrollment procedures and registration details. Carefully read the  information regarding new students provided by the institution and complete all necessary documentation and procedures by the deadlines.
  • Planning travel and accommodation arrangements. If the institution does not provide accommodation assistance, students must find suitable housing options independently.
  • Arranging essential documents for the exchange, such as passport and visa. Ensure all documents are prepared and obtained before departure (if applicable).
  • Assessing and preparing the necessary financial budget, including living expenses and travel costs.
  • Finalizing on-campus matters such as course selection and accommodation relocation.
  • Consulting with senior students who have previously participated in the same exchange programme for advice on studying and living in the destination.
  • Preparing for the exchange, including language practice, cultural learning, and acquiring necessary items to adapt smoothly to local life.

 

In summary, students need to comprehensively plan all aspects of their exchange experience to ensure a successful and memorable learning journey.

 

 

Post-Exchange Procedures:

 

1. According to past practices, some partner institutions in Hong Kong, Macau, and Taiwan will send the students' official transcripts to the Office of Global Affairs after the programme ends. The office will notify students to collect their transcripts from the university (students who have already received their transcripts or relevant electronic versions can disregard this step).

 

2. Upon receiving the transcript, students who need to transfer credits should prepare the necessary credit transfer materials, including the credit transfer application form, transcript, and relevant course descriptions, and submit them to their faculty via email.

3. After completing the semester exchange programme, students are required to submit a reflection report on the exchange experience to oga.exchange@cityu.edu.mo. The report should be in Word format, 100-200 words in length, and include at least three photos (photos must include the student and relevant logos of the exchange institution). Photos can be submitted as email attachments. The Office of Global Affairs will archive the reflection report as part of the project documentation, and the content may be used for future university promotional materials.
